Job Overview
The Program Coordinator guides clients through the entire certification process for various certification programs under the Product Claims division, from onboarding through the initial certification process to annual maintenance of certification. The Program Coordinator is the main point of contact for clients and delegates inquiries and responsibilities to sales and technical staff. This role involves maintaining program files and client records, helping clients navigate the certification process, working with staff and contract auditors, and managing auditor workloads. The Program Coordinator supports the Technical Manager and Associates in the administration of certification activities, helps create process efficiencies, and collaborates closely with the Administrative Coordinators.

Essential Duties and Responsibilities
Project and Financial Coordination
- Coordinate annual audit projects from start to finish by collecting appropriate documentation, overseeing/tracking scheduling of inspections, and issuing certificates
- Provide audit and/or inspection assignments to staff and contract auditors
- Manage auditor/inspector schedules, workloads, and travel budgets
- Carry out travel booking and logistical arrangements, as needed
- Work with sales team during client scoping and onboarding, create work orders as needed
- Work with administrative coordinators to ensure work orders and invoices are created in an accurate and timely manner
- Review all expense reports for sustainability staff and regional auditors
Client Support and Communication
- Work as main point of contact for clients going through the verification process and verified clients
- Provide exemplary customer service in response to requests and inquiries
- Track and manage client deadlines for program correspondence and certification issues
- Manage daily email and telephone communications with clients, SCS program personnel, and contractors
- Develop templates for internal and external communications within Product Claim programs
- Ensure project milestones and deadlines are established and clearly understood by clients, project staff, and contract auditors
Operations
- Oversee organization and maintenance of file systems and client database, and ensure compliance with SCS quality system
- Assist with editing program materials, communication templates, and report templates
- Support the maintenance of the ISO accreditation and quality system management
- Support development of operational efficiencies
- Ongoing maintenance of all new, existing, and archived program files in accordance with program requirements
- Perform initial review of Product Verification documents, product formulations, and audit reports
- Maintain all records for enrolled clients, including but not limited to applications, product profiles, certificates, work orders, and invoices
- Support Program Manager to develop program guidance updates and draft letters as needed
- Work with Program Manager on renewal projections
- Additional tasks as requested by Management
Minimum Qualifications
- Bachelor's Degree in Agriculture, Environmental Science, etc. or a related field or
- Equivalent combination of education and/or relevant work experience and
- 2+ years of professional coordination experience
- Proficient in Microsoft Office including Word, Excel, PowerPoint, and Outlook
- Exceptional database management skills with ability to rapidly learn new systems as necessary
- Ability to work well independently and in team-oriented situations
- Ability to provide excellent customer service and maintain a professional demeanor at all times
- Ability to thrive in a fast-paced, customer-service oriented, collaborative team environment
- Ability to prioritize multiple tasks, complete time-sensitive projects, and provide realistic deadlines
- Proficiency in English with excellent writing and verbal communication
Preferred Qualifications
- Professional verbal and written proficiency in Spanish
- Experience with Salesforce
- Experience with third party auditing, certification systems, ISO 9001:2008 quality systems, or other applicable industry standards
- Experience in quantitative and qualitative data collection and analysis

Working Remotely
At this time, SCS Global Services is recruiting all open roles to be remote; allowing our employees the ability to work flexibly and allowing SCS as a company to diversify the experience and perspectives of our growing workforce. This role will be based out of your home office.
Estimated Hourly Salary
$20.40 - $26.55
