Technical Coordinator, Sustainability Certifications

Job Overview
The Technical Coordinator, Sustainability Certifications supports Fair Trade USA program clients pursuing third-party environmental certifications. This position is responsible for interfacing and relationship management with clients, audit project management, review of audit deliverables to ensure timeline-driven deadlines are met, quality assurance, and auditor resource management. The Technical Coordinator collaborates with fellow coordinators, the Technical Manager, and the Program Manager for additional support as needed. The role involves managing daily communications in English and Spanish with clients, SCS program personnel, and contract auditors.

Essential Duties and Responsibilities
Client Support and Communication

  • Provide exemplary customer service in response to requests and inquiries
  • Provide information to clients regarding the certification process and relevant requirements
  • Ensure project milestones and deadlines are established and clearly understood by clients, staff, and contract auditors
  • Manage daily email, telephone, Teams, and Zoom communications in English and Spanish with clients, SCS program personnel, and contract auditors
  • Organize and maintain client files and documentation meticulously

Audit Coordination and Planning

  • Prepare quote and invoices for clients
  • Schedule and coordinate new and annual audits
  • Manage auditor schedules, workloads, and travel budgets
  • Track audit project milestones and deadlines
  • Carry out travel booking and logistical arrangements, as needed
  • Conduct technical review of audit reports in accordance with scheme requirements
  • Apply professional judgement on the quality of audit reports
  • Manage quality assurance aspects of the Fair Trade program to uphold high standards
  • Perform technical duties with the support of the technical team
  • Interface with technical staff and auditors to ensure timely service delivery
  • Review and track vendor invoices for accuracy and payment processing
  • Ensure consistent flow of audit projects and conduct field observations, as needed

Operations

  • Maintain documents, records, and project tracking in compliance with SCS quality management systems and the rules of the relevant certification scheme, where applicable
  • Ensure that all required audit documentation is complete
  • Support the program with client invoicing and manage accounts receivable processes
  • Ensure timely release of certificates to clients
  • Develop, translate, and edit program materials, communication templates, and audit forms
  • Collaborate with technical staff to ensure timely service delivery and continuous program improvement
  • Support development of training programs and related materials for auditors
  • Support development of operational efficiencies

Minimum Qualifications

  • Bachelor's Degree in a related field (Sustainability, Agricultural or Food Systems, Environmental Studies, etc.) and
  • 1+ years of experience in project management or administration and
  • Experience with data management or database software
  • Excellent time management, organization, and prioritization skills
  • Strong attention to detail with a commitment to accuracy and quality
  • Ability to complete time-sensitive projects and to provide realistic deadlines
  • Ability to adapt to frequent timeline changes with complex, long-term projects
  • Ability to work effectively with diverse teams and stakeholders
  • Strong customer service and teamwork orientation
  • Excellent technical writing, observation, and data management skills
  • Ability to manage accounts receivable and invoicing processes
  • Fluency in English and fluency or high-level proficiency in Spanish with professional experience in verbal and written communication
  • Experience with Microsoft programs including Teams, Word, PowerPoint, Outlook, and Excel
  • Initiative and ability to work independently and use professional judgment with minimal supervision; responsive and adaptive
  • Commitment to SCS values and environmental issues

Preferred Qualifications

  • Experience in the food/agriculture industry
  • Experience with third-party auditing, certification systems, or other applicable industry standards and/or knowledge
  • Fluency or high-level proficiency in Portuguese and/or French
  • Strong demonstrated abilities in critical analysis
  • Proficiency in Salesforce and database management systems
  • Certified Quality Auditor ISO 9001:2008

Working Remotely
SCS is recruiting all open roles to be remote; allowing our employees the ability to work flexibly and allowing SCS as a company to diversify the experience and perspectives of our growing workforce.
